DACSS Implementation for PeopleAdmin Users

To improve customer service for the UCLA Campus, Campus Human Resources (CHR) Compensation Services recently implemented a new online Job Description and Electronic Library module of the PeopleAdmin program.  The second module of this program, currently in implementation with CHR Employment Services, includes the Requisition Management and Applicant Tracking applications. This second module will be fully implemented on March 26, 2007. 

Until that date, CHR Compensation Services will continue to grant access to the program for the Job Description and Electronic Library applications. However, from that date forward, access for both modules will be granted only via DACSS (Distributed Administrative Computing Security System). 

Access will be granted to two types of users: “Preparers” and “Submitters.” Their roles and responsibilities are delineated in the grid below. Preparers will generally have access to a lesser population than Submitters.
 

 

DACSS Function Codes

HRJDPRPRPreparer(Compensation)The Compensation Preparer can create, review and edit Job Descriptions, and then route them to other Preparers for review or to an authorized departmental Compensation Submitter. They have access to the Electronic Library of approved Job Descriptions for their assigned population.
HRJDSBMTSubmitter (Compensation)The Compensation Submitter may also create, review and edit Job Descriptions and is further authorized to approve and submit them to Compensation for review. They have access to the Electronic Library of approved Job Descriptions for their assigned population.
HRRQPRPRPreparer (Employment)The Employment Preparer can create and send Requisitions to an authorized departmental Employment Submitter for review and approval. They have access to the Electronic Library for positions within their assigned population.
HRRQSBMTSubmitter (Employment)The Employment Submitter can create and edit Requisitions and is further authorized to approve and submit them to Employment Services for posting. They have access to the Electronic Library of approved Job Descriptions for their assigned population.


To grant access to these web-based functions and conform to campus security policies, the Chief Administrative Officer will need to determine, in conjunction with the Human Resources control point, who, within your organization, should function as “Preparers” and who should function as “Submitters” on both the Job Description and Requisition/Applicant Tracking modules. 

Once you have identified these individuals, please inform your Departmental Security Administrator (DSA). For employees without an OASIS logon ID; the DSA will submit a Service Access Request to Administrative Information Systems (AIS). Once the logon ID has been created, the employee will be invited to the AIS Department in Murphy Hall for a brief informational session where the logon ID will be activated. Your DSA may then grant access to the DACSS functions in accordance with your directions.
 
Training has already been, and will continue to be provided in the use of the web-based PeopleAdmin tool. The goal of this announcement is to inform you of the need to assign appropriate access levels in preparation for the movement to full production of the PeopleAdmin tool via DACSS. You may access flow charts of this process in Related Information.

Please communicate this information to both your DSA and Human Resources control point so that they are prepared to assist in this effort. Those identified as Preparers and Submitters must have their OASIS logon IDs and have been granted their DACSS functions by the March 26, 2007, effective date in order to access the PeopleAdmin program.
