PeopleAdmin Requisition Close Out & Cancellation Overview
To align with the University’s record retention policies and required federal regulations, it is critical that all applicants are fully dispositioned in the system and requisitions are closed out or canceled in PeopleAdmin by April 30, 2024.
After April 30, CHR Talent Acquisition will review all PeopleAdmin requisitions that were not properly closed out or canceled and will cancel these requisitions. Once a requisition is canceled in PeopleAdmin, no further actions, including the hiring of candidates, can be completed by departments on PeopleAdmin requisitions, and new job/requisitions must be created in iCIMS.
To avoid possible issues and/or delays to these recruitments, departments should finish dispositioning applicants and close out or cancel PeopleAdmin requisitions by April 30. Please read below for additional information on how to close out or cancel requisitions in PeopleAdmin and/or how to recreate the requisition in iCIMS.
Reviewing PeopleAdmin Requisitions That Require Close Out or Cancellation
Department Preparers and/or Submitters can view expired requisitions directly in PeopleAdmin.
- Log in to PeopleAdmin. Visit the Active Postings webpage to find a list of requisitions.
- For all requisitions with the Requisition Status: “Expired Posting,” decide if the requisition listed are to be closed out or canceled and/or recreated in iCIMS.
- Complete the close out or cancellation process (as outlined below) for all expired job requisitions in PeopleAdmin by April 30.
How to Close Out and Cancel PeopleAdmin Requisitions
If you will be hiring an applicant and completing the recruitment in PeopleAdmin you should close out the requisition in PeopleAdmin by April 30 by completing the process below:
- Disposition active applicants appropriately.
- Complete and approve closing documents (Review the PeopleAdmin – View and Approve Closing Documents summary).
- If the requisition status changes to “CD Submitted,” the process is complete.
- If the requisition status remains “Expired Posting,” contact your CHR Talent Acquisition Consultant to close out the requisition.
- Once a new hire has been entered in UCPath and a UCPath number has been generated, associate the hired applicant to the position description in JDxpert using the Position Management Workflow.
If you will be canceling the recruitment in PeopleAdmin and not recreating the requisition in iCIMS, you should cancel the requisition in PeopleAdmin by April 30 by completing the process below:
- Disposition active applicants to the “Requisition Canceled” status.
- Contact your CHR Talent Acquisition Consultant to cancel the requisition.
If you will be recreating the job/requisition in iCIMS, you should follow the process below by April 30. Please note that some steps may be completed concurrently.
- In JDXpert, update and submit the position description for classification using the Update PD [Required Comp Review] Preparer or Submitter Workflow. Allow time for CHR Compensation to classify and finalize the position description.
- Once classified in JDXpert, create a new job/requisition in iCIMS using the JDXpert position description ID number. Once approved by CHR Talent Acquisition, the submitter and hiring manager will receive an email with the job posting link in iCIMS.
- After department approval, the CHR Talent Acquisition will review, approve, and post the job/requisition and send a notification to the submitter and hiring manager with the job posting link in iCIMS.
- (Optional) Review active applicants in PeopleAdmin and identify qualified applicants that the department would like to invite to reapply. Share the link to the iCIMS job posting with qualified applicants to reapply.
- In PeopleAdmin, disposition all applicants to the “Requisition Canceled” status in PeopleAdmin.
- Contact your CHR Talent Acquisition Consultant to cancel the requisition.
- Continue the requisition in iCIMS and complete the close out/cancellation process appropriately in the new system.

PeopleAdmin Requisition Close Out/Cancellation FAQs
If an applicant has already been selected for hire in PeopleAdmin, the department should continue to hire that person in PeopleAdmin and complete the requisition close out process by April 30. The department does not need to create a new job/requisition in iCIMS.
If departments have a multi-hire requisition in PeopleAdmin and have identified some applicants for hire and/or have already hired some applicants, the department should close out the requisition with the current hires in PeopleAdmin by April 30 then open a new multi-hire job/requisition in iCIMS. If there are additional qualified applicants that have not been hired in PeopleAdmin, departments can invite applicants to apply in iCIMS by emailing them with the job posting link in iCIMS.
Yes. PeopleAdmin email notifications are still active based on actions departments take in the system.Therefore, applicants will continue to receive such emails. However, please note that applicants will no longer be able to login to the PeopleAdmin system to check on their status.
No. After April 30, CHR Talent Acquisition will work quickly to close out or cancel remaining requisitions in PeopleAdmin. Departments that need to hire applicants, regardless of whether a requisition was previously created in PeopleAdmin, will need to recreate the job/requisition in iCIMS utilizing the process above in order to accurately document the hire and close out the requisition.
No, departments will not lose access to PeopleAdmin after April 30. However, after April 30, CHR Talent Acquisition will be finalizing the close out or cancellation of requisitions. No further action, including the hiring of applicants, can be made by departments to the requisitions in PeopleAdmin.
